  • 100,000+ athletes, teams & room nights managed
  • Real-time bracket automation & integrated hotel block reservations

Executive Overview

Youth sports tournaments and athletic competitions involve a high volume of moving parts: thousands of traveling teams, hotel block allocations, multiple sports complexes, bracket scheduling, and multi-tier registration fees. This platform delivers a comprehensive, all-in-one ecosystem for tournament directors, facility operators, club managers, and traveling families.

The Technical & Business Challenge

Managing synchronized event scheduling and hotel room block bookings under peak registration spikes where thousands of teams simultaneously register and reserve accommodations. Ensuring zero double-bookings across courts/fields and rooms while processing multi-currency deposits and merchant payouts with strict financial accuracy.

Engineering Solution & Architecture

Engineered a high-concurrency backend architecture in Laravel and MySQL with row-level locking and Redis queues. Designed dedicated service layers for tournament bracket generation, dynamic hotel reservation holds with expiration timers, and an idempotent payment processing pipeline with automated ledger reconciliation.

Key Architectural Decisions

  • Pessimistic concurrency control and Redis locks preventing double-allocations on tournament slots and hotel blocks
  • Idempotent multi-gateway payment processing handling partial deposits, chargebacks, and automated fee splits
  • Optimized MySQL indexing on tournament schedules and game scores delivering sub-100ms live leaderboards
  • Granular multi-tenant RBAC separating tournament organizers, club directors, coaches, and hotel partners

Core Functional Capabilities

  • Comprehensive tournament bracket scheduling, pool play & dynamic elimination trees
  • Integrated event housing engine with contracted hotel block management & team booking links
  • Sports facility and court/field time-slot reservation with conflict detection
  • Team registration, roster governance, digital waivers & age group divisions
  • High-volume checkout with deposits, payment plans, refunds & gateway webhooks
  • Live game scoring, mobile-optimized division standings & automatic bracket progression

Engineering Focus & Quality Standards

Architected resilient inventory holds for hotel blocks using Redis TTL locks, preventing room reservation race conditions. Implemented asynchronous queue workers for roster verification and automated email/SMS communications during live tournament days.
